Erasmus+ Completion Documents

Semester abroad

Your semester abroad has come to an end – what do you have to do now? Please submit the documents listed below to our online portal within 30 days of the end of your stay abroad. Once everything has been submitted, the second instalment of your Erasmus+ grant can be paid out.

If you did not submit your application through HSBI’s online portal (e.g., in the case of Erasmus+ worldwide), please send your completion documents to: international.office@hsbi.de.

1) Confirmation of stay

You can download the “Confirmation of Stay” form from the online portal in your Erasmus+ application. Please have it filled out and signed by the host university’s International Office and upload it back to the online portal.

2) Transcript of records

You will receive a transcript of records from your host university listing the examinations taken there. It will usually only be delivered to you after you have already returned from abroad. Please upload your transcript of records to the HSBI online portal.

In some cases, the transcript of records will be sent to the International Office directly. We will inform you as soon as it has arrived with us.

3) Experience report

After your stay abroad, you must submit an experience report. This report will help other students plan and prepare for their stay abroad. It is also important for the work of the International Office to hear about your experiences abroad.

Please use the cover page we provide and refer to our guide for writing experience reports.

Please also send us the consent form in which you note whether you agree to the publication of your experience report or not.
4) EU Survey (online participant report)

EU Survey of the EU Commission serves to evaluate and improve the programme and the reports are retrieved by the German Academic Exchange Service and the EU Commission for evaluation purposes.

The link for the survey will be sent to you automatically by e-mail at the end of your stay. After receiving the e-mail, you will have 30 days to complete it.

Subject line: Erasmus+ participant report

The information you have given in the survey will be evaluated by the EU Commission. It will also be used to evaluate HSBI’s implementation of the programme. We therefore ask you to fill out the survey carefully and responsibly.

Internship abroad

Your internship abroad has come to an end – what do you have to do now? Please submit the documents listed below within 30 days of the end of your stay abroad. Once everything has been submitted, the second instalment of your Erasmus+ grant can be paid out.

Please send all completion documents to: international.office@hsbi.de

1) Internship reference

Please submit an internship reference with us either as a qualified letter of reference (observe minimum EU requirements) or via the “After the Mobility” section of the Learning Agreement.

2) Experience report

4) Enrolment certificate

If your internship lasted for several semesters, please submit enrolment certificates for all semesters during which you completed your internship.
